Choosing a bike

There are two ways to choose the bike of your dreams:

  1. Call round to your local bicycle shop and ask for a quote for a bike, including accessories. You can pick any make or model at the local bicycle shop. Send this quote in to offerte@cyclis.be . Cyclis will get back to you within 2-3 working days with a lease quote by e-mail.                                       
  2. 2. Visit our website website and log in using your login details. Go to the webshop where you can make your choice from a wide range of bicycles. Here is where you can also simulate your own lease quote.

You can choose any make and pick any model you like from the local bicycle shops in Belgium: an electric bike, a speedbike, a city bike, a racing bike, a mountain bike, a folding bike, a baker’s bike, a scooter, etc.

You cannot choose models from online makes and you cannot pick bicycles that are available from wholesale traders. Children’s bikes are not an option either.  


Be sure to include a solid lock for your bike. It is also advisable to wear a bike helmet for safety reasons. For the more sporty models, we would suggest including pedals and lights, as these are not offered as standard.  

Speedbikes are bicycles that reach speeds of up to 45 km/hour. This means these bikes are required to carry a number plate and you therefore need to be in possession of a driving licence. In addition, you are under obligation to wear a helmet and to observe the traffic rules that apply to speedbikes. Which is why in all cases Cyclis also includes a Third Party Liability insurance for bicycle riders for this type of fast bikes. To this end, it is important that you provide us with the following documents: a copy of your ID, a copy of your driving licence and your home address.

Please note! As a result, the ordering process for a speedbike also takes a little longer than usual. From the time the speedbike has been delivered to the bicycle shop, the shop owner is supplied with a certificate of conformity and a registration form. These forms are then passed on to the insurer before they are subsequently sent to the DIV (Dienst Inschrijving Voertuigen or Vehicle Registration Office). In turn, the DIV will issue a number plate. Unfortunately, the entire process takes a few weeks. Which means that, after the bike has been delivered, you will still need to reckon with a few weeks’ administrative processing time.

Make sure your speedbike carries a number plate before you hit the road. You need to be in possession of the COC certificate of conformity, the vehicle registration certificate and the green card at all times.

Bicycle shops

Cyclis currently works with some 800 bicycle shops across Belgium. Go to https://cyclis.be/dealers or https://cyclis.be/dealers/map. . If your preferred choice is not included in the list, you can still suggest your own bicycle shop. Provide us with the details of the shop owner. We will get in touch with them to set up a business relationship. If we are able to arrive at an agreement, you can go to this bicycle shop.

Cyclis favours local bicycle shops, which is why we do not work with wholesalers or online makes.

We would advise you to stay with the same shop where you picked up your bicycle. If, for some reason, you still want to change bicycle shops (e.g. because you have moved house), that is not a problem. However, in that case you will need to find a shop owner who is an official dealer of your bicycle make so as not to overstep the provisions of your warranty.

You can, if we are able to conclude an agreement with the shop owner. However, this currently remains impossible for speedbikes.

Quote & order

The average processing time for a quote is 1-3 working days. We will send you a confirmation mail as soon as the quote has been duly delivered to us. If you need to wait for longer than 3 working days, be sure to get in touch with us.

You should reckon with an administrative processing period for the company as well as for Cyclis. The lead time depends on the time of year and differs from one company to the next. On average however, you should reckon with some 2 weeks.

If you are looking to order a bike via Cyclis, this will first need to be approved by your employer:
  1. Pass your order on to the HR department. A manager at your company will then send us confirmation and we will place your order.
  2. If your company runs a Flex Income Plan, you need to confirm your lease quote via the Flex Income Plan tool. In most cases you will need to enter the order number (SO number) and the monthly lease sum and then confirm the order.

If you are keen to mount your bike some time soon, we would advise you to go for a stock model. This means you decide on a model that is immediately available at the shop. If you decide on a bike that needs to be ordered in, the average wait is anywhere between 4 and 6 weeks. Tip: enquire at the bicycle shop beforehand about possible delivery lead times on particular models to avoid unpleasant surprises.

The lease quote covers the bicycle and all the services that take away the burden of dealing with any problems that might arise. Which means the monthly lease sum includes the purchase value of the bicycle, comprehensive insurance cover, a maintenance budget and roadside assistance. As such, it is true to say the lease quote is more expensive than the purchase value of the bicycle. However, this is not the price you pay as an employee. Call round to speak to your HR department or enter the amount in your Flex Income Plan to find out your gross and net contributions towards this lease bike. You will find you are looking at a handsome net benefit and you ultimately end up contributing less than the initial purchase value of the bicycle.

If the contract is terminated early, various options exist:
  • You take over your bike and pay the remaining residual value.  
In either situation, please contact us for more details.  

As the contract ends as normally agreed, you can take over the bike by paying the residual value as communicated. You will find this residual value in your lease contract. If you do not want to take over the bicycle, you can return it to your local bicycle shop free of charge.

Service

In case of damage, you should also contact us at insurance@cyclis.be. Take pictures of the damage sustained and have the shop owner prepare a quote for the repairs. If a third party is involved, you can also have a police report (PV) drawn up or complete the European collision form together. You can use the same form as for a car.

If your bike has been stolen, you need to report this to the police without delay. Also contact us at insurance@cyclis.be and provide us with the police report (PV), along with proof of the two keys with a visible key number. We will then make the necessary arrangements and inform you of the further steps to be taken. In any case, state the brand, type and frame number on the PV. We will do the necessary and inform you further about the following steps.

Bike breaks down while you are out on the road? Contact our partner VAB on the phone number +32 3 253 61 38. and state your frame number. VAB will arrive on site within the hour to provide further assistance.

Unable to find the VAB contact details or your frame number right away? Contact us and we will be happy to help.

You can consult and manage your maintenance budget online. Go to our website and login using your login details. Then click on the ‘My bicycles’ button, which will take you to your bicycle passport. If you want to have your bike serviced at the shop where you picked it up from, click on the ‘Maintenance credit’ button. This will display a voucher showing the remaining credit balance. Print it or show the shop owner the voucher on your smartphone. Click on the third button called ‘Maintenance invoices’ to consult and follow up on all your invoices.

It is not possible to return your bicycle and / or exchange it for another one during the contract period.

If you still want a different bike, you can cancel your contract. In that case you will have to pay a cancellation charge of 6 times the monthly lease amount.
